Information about Donating Artifacts/Objects

The Cowan Museum has different types of collections:


  • Permanent - Objects which are preserved and curated, such as historical artifacts, geological specimens, books & manuscripts. These objects are formally accessioned into the collection. 


The public may have access to objects and specimens for exhibition, loan, education programs, and research. 

Please make an appointment with the Museum Director if interested. 


  • Education - Objects for hands-on learning.  This type of collection includes duplicates of what is in the permanent collection, items that do not have strong provenance, and things that may not be in good condition. Additionally included are specific objects which have been purchased by staff to help support educational programs.


  • Reference & Library - Books, magazines, and documents that both museum staff and the public may use for research.


  • Archives - Documents regarding the museum's history, policies and procedures.


  • Photograph Collection.


  • Props - Objects used for exhibit enhancements, such as mannequins, faux food, clothing, etc.



Although we would like to accept many of the objects that have been offered to us, we are not able to accept every object into the museum. Our staff views accessioning as a formal, ethical, and responsible process. We make sure the object adds value (intellectual and historical) to the collection, has proper documentation, and that there are enough resources to care for it in perpetuity for the benefit of the public. 

Before an artifact is accepted, our staff considers the following:


  •  If the object is relevant to our mission and collecting plan.


  • The physical condition of the artifact: Due to limited resources, we are not able to accept objects in poor condition and in need of conservation.


  • Legal and ethical issues: To the best of our ability, we must guarantee that the artifact was acquired legally and ethically, and that it has clear title and provenance. 


  • What is needed to care for the object: In the past, we accepted many artifacts which our staff eventually discovered could not be provided long term care, conservation, storage, and security. Therefore, it is essential to understand what is needed for the object’s care (space, environmental controls, security, and resources) before making a decision to accept it.


  • Intellectual and historical value: The artifact should have intellectual or historical value, and support the museum's objectives in research, interpretation, and exhibition. Our staff delights in hearing memories and stories about an object being offered by a potential donor, and views that type of information as valuable.


  • Public trust and accountability: Accessioning an object is a responsibility to hold the object in public trust. This means that we are accountable for its preservation and access for the benefit of the public, for research, education, and enjoyment.
